"Unlimited Access e-Books" Primo Search Scope Project Charter

Description & Goals:

This was first set up as a featured collection in Discover, which didn’t work well. Instead, we will be creating a search scope that allows users to have the full functionality of an advanced Discover search without having to wade through other materials that aren’t relevant.

This search scope will be limited to eBooks allowing unlimited simultaneous use, making them potential options for instructors to lower student costs by replacing traditional textbooks with library resources.

Deliverables

  • Alma normalization automation created to add a 590 $a: “unlimited simultaneous users" to relevant records

  • "Unlimited Access e-Books" search scope will be added as a drop-down option in Discover.

  • “Unlimited Access e-Books” will show up under the Collection facet, when items fitting the parameters of this search scope appear in Discover results

  • advanced search and basic search URLs for new search scope provided

  • Discover search scope-specific widget created

Infrastructure & Maintenance

Once set up, in Alma and Primo, this workflow will be automated and won’t require intervention unless collection practices change or additional limits (publication date, source, etc…) need to be placed on highlighted records.

Sunset Plan

  • If it is decided that this search scope is no longer needed, Cari and Fred will need to be notified.

  • Primo configurations will need to be disabled.

  • Alma normalization configurations will also need to be disabled.

  • All records will need to be republished in Alma and Primo to remove special search scope tagging from the records.

Key Resources

  • Fred will set up Alma normalization rules based on specific information added to a public note during collection and/or portfolio creation. This will create a local 5XX MARC field that is actionable in Primo. Fred will republish records, adding the 5XX field. This work should only take 1-2 days. The rule will run daily to catch new records that fit the parameters.

  • Cari will complete Primo configurations to create the new search scope and make it visible in Discover test view.

  • Someone on KRS’s team will need to do testing before this is enabled in production.

Estimated UL Budget

  • 2 FTE: 5-10 days combined
